All campaigns labeled as "Idle"

I just started using a preview of the new Automation upgrade. It's great! But a few other things changed within the platform, and I have one concern.Specifically, under the Campaigns tab, all mailings are simply labeled as "Idle" with no way to tell apart sent campaigns and draft campaigns. This makes it very difficult to keep track of what's still in the queue.How can we better label the emails? I think sent emails should be labeled "Sent" and not "Idle."

I have to agree with Matt. It is a bit confusing trying to tell the difference between them.

This is Cody with Emma's product team. Thanks for sharing your thoughts on the new Automation experience! 

I'm sorry to hear that the new Campaign sorting convention is making things tricky. Because we wanted to give users more options for how to put their emails to use in different places (by sending them multiple times without having to make copies, being able to use the same email in multiple workflows, associating a sent email with an automated workflow, etc.), we decided to take down the gate between "draft" and "sent" emails. Previously, "Sent" emails were not editable or re-sendable, and attempting to open them would result in a new "draft" email being created with an unsightly "COPY-2014-11-17-etc, etc..." appended to the name. That was puzzling to a lot of our users.

We wanted to treat our emails more like a library of editable and reusable content, so emails now exist in statuses of "Idle," "Automated" or "Scheduled," as outlined here: https://support.e2ma.net/Account_resources/Account_how-to/sending-a-trigger-or-autoresponder/An_over...

We're still making adjustments based on feedback from early users, and we're planning to introduce a column in the Campaigns view for "Last Sent," which I hope will help you and your team better sort your emails. It would look something like the mockup below, and in this case, the "Last Sent" date for an email that has never been sent (formerly a "draft") would be "never." Would that help?

I do miss the tabs for drafts and sent -- and find that the idle status for all campaigns is confusing, too.  Is there any way to switch out of the early user automation view back to the previous version?

Sure, we've deactivated the early user Automation view for you and restored your "Drafts" and "Sent" tabs. You won't be able to access the new Automation section, but you will have access to our old "triggers" options. We'll eventually be moving all accounts to using the new Automation view, but this will give you some more time to prepare. We're also planning to make the experience a little easier by adding a “Last sent” column to that view, which sounds like it will help with some confusion. Thanks!

I'm still seeing the early user Automation view -- when can I expect that to be deactivated and back to the drafts/sent view?  Thanks!

This is Cody with Emma's Product team. I just paid a visit to your account, and I saw that you have your Draft/Sent tabs back in place. You'll still see the new account styling, and the option for Automation in this view, but you'll keep your Draft/Sent tabs on the Campaigns page as long as you don't click to opt into the Early Access experience from the Automation section.

Hi Cody, I had originally clicked to opt in to early access, which is why I'd asked above if it could be deactivated... I'm still not seeing the drafts/sent change reflected when I log in -- is that because I'd originally opted in (and this can't be reversed for the user)?  Thanks!

Oops! I'm sorry for the confusion - there was a switch that wasn't flipped the first time we tried. Can you log in and let me know if you can see your "Drafts" and "Sent" tabs now?

I agree with Matt that this view is confusing. We do not plan on using the automation so this 'idle' view is nothing but confusing. I think your solution to add a last sent column would help, but I still personally preferred the original view.

I do have a question about the last sent column. Would this only show a last sent date for emails that were sent out as an official mailing and not just a test email? It would only prove helpful to me if it only shows a date for emails sent as mailings.

Great question, Becky-Jo. We would only show the "last sent" dates for true mailings, not test sends. I'd like to learn a little more about what's most important for you to when you navigate to the Campaigns section, and why the new view isn't working for you. Is it most important for you to see the emails that you haven't sent yet, without distraction from emails that you've sent previously?

As I said in another post I'm not a fan. Having one huge mixed up list is nothing but painful. For me I'd like to see Drafts, Scheduled, Sent and Automation (if I decide to use it - at the moment it's a pain having to manually move all the existing triggers over). Surely it wouldn't be that difficult to then allow the Sent emails to be editable (although copying the email was never a problem and editing the email name is a simple click and type). I'm not sure what you mean by "sending them multiple times without having to make copies" - surely this would then one response to the mailing and not individual responses to each mailing? I wouldn't be sending the same email to the same group over and over so how would this work? I like to see the response to each email as it goes to different groups.

Thanks for sharing your feedback. In this construct, the individual sendoffs of an email would still receive their own unique entries in the Response section - it just wouldn't be necessary to constantly copy "Sent" mailings if you wanted to modify emails to send them again (though copying would still be an option). Many of our users prefer starting from a previously sent mailing to starting from scratch, and this design avoids the buildup of multiple copies.

We're investigating alternate designs of this section that would deliver the same value without creating confusion for users. This feedback is very helpful.

I would like to have the test Automation removed, too! I had no idea it would mess with Campaigns so badly. At first I panicked thinking the first two of three sequential emails had not "Sent" this month! There has to be a better way.

You can sort your mailings by status, but all of mine are listed as "idle"--what does this mean, and what are other possibilities? How does it get changed?

Hi there -- "Idle" now serves as the default status for any draft that is not currently "scheduled" or "automated". You can read more about those status distinctions here!

I completely understand that the gate between sent and draft wasn't the best way to program campaign statuses, but I think it also served a really great purpose: organizing. I'm in a team of 6 and when we'd log in to Emma, we could see what was actively in the works. With no gate, it's kind of like having all the boxes of cereal out and open - even if you're not eating from them. I'd like to put them back on the shelf and close the door when I'm done with them. And many of these emails are permanently, forever, done, so there's no need to keep them as idle. Merry Christmas!

I agree completely with TRSL especially with a team of people working in MyEmma. This set-up makes the process super confusing and frustrating. There's no way to see what was sent or what is still pending/needs to be worked on and this is just confusing/awful. I definitely think it needs to be revised ASAP!

I have to agree - having all emails sent or unsent listed as idle is a bit confusing - especially for multiple users of the account. Until a change is made can we be switched back to the old view with the 2 separate tabs (draft/sent)? Thanks!

Hi everyone -- Thanks again for hanging in there with us while our team works to make some upgrades to the campaigns page. Here's the latest update!

In a few weeks, we’ll be rolling out a tabbed view that should preserve the best elements of both the old and new systems: “Sent” and “Unsent” emails will be displayed on separate tabs almost identical to the old system, with “Scheduled” and “Automated” tabs receiving their own tabs when present. You will be able to re-send emails that have been sent without making a copy, but you'll also have the option to copy a formerly sent email to start fresh with a new, “unsent” email.

In my Campaigns section, the folders for Draft and Sent are gone and instead every single mailing we've ever sent out is listed and there is now a Status field that says Idle for each template. Is this a permanent change or a bug? I am using Firefox which I always use.

I see from this thread that the changes to my Campaign section is due to Automation. When will the Scheduled and Automated tabs be in place? I find the change to be very confusing. Thanks.

Just following up here. I mentioned it in the Automation blog post that we shared in last week's Good News email, but wanted to let you guys know that we're zeroing in on our new tabbed view, and I hope to start inviting users to try it out by early next week. I'll be sure to follow up when it's ready for our first users!

Hi Cody, I am SO happy to hear that our account will soon have Sent and Unsent tabs. Can't wait actually! Just a few minutes ago I ran into another snag with the switch over to automation. Previously, when we had our Sent tab, I could go back to mailings that had been sent months and months ago. And I am trying to grab an old mailing from last May that I can copy for a new email but with the switch to automation, emails that we sent out long ago are no longer in our account. Is there any way around this? Will the new tabs bring back old emails that were sent last year? Thanks for your help!

I'm another user who had a similar problem. Emma started "Deleting" sent emails older than 18 months some time ago. However, they actually archived many of them. If you click on the Tools icon in the upper right-hand corner and click on the "Deleted Items" option in the drop down, you'll see most, if not all, of your deleted items--Audience, Campaigns, and Response, just like in the main part of your account.

I would love to know how long this feature will last, as it has saved me a couple of times!

Hi Denise! Your content is available for 18 months. After 18 months, your mailing responses disappear from your Response page (it sounds like this is what you're referring to), and if you manually delete content, it also stays in your Deleted Items folder for 18 months.

Dear Emma: Seriously?! I don't want to sound like a whiner, but this new "all emails on one tab without any distinction between drafts and sent" is a real pain point for me and your other customers who are creating/sending multiple emails a day, every day.

I nearly just resent an email that was already sent this morning because of it - and it wasn't the first time I've done it. I feel like I can't be the only one being tripped up.

If there's going to be no distinction between drafts/sent...can you add the "in progress" emails to the home screen? Also, it would be super awesome if you would give us a heads up before you make such drastic changes to the interface. I'm not saying you should ask - but at least give me (and our dozen other agency users) a heads up.

Okay, everybody - if you've chimed in here, you should see our new tabbed view in your "Campaigns" section. It features tabs for "Unsent" and "Sent," as well as tabs that will only appear for "Scheduled" and "Automated" emails if you have any emails in either of those statuses. You'll be able to edit and re-send emails that have previously been sent in this view - clicking on an email in the "Sent" column will open up a pop-up that will give you the option to either make a copy of that sent email (if you want to keep your emails separate for content management purposes), or edit the original (if you'd prefer to edit and re-send a single email than work with multiple copies).

I just logged in and all of my emails have been listed as idle vs how they were originally sorted which was draft, scheduled, sent.   Please advise.

Hi there! At the same time I merged your post here, you also comment on your original post: "I just logged in and all of my emails are updated, but two emails were never sent."

I think how I'm reading this is that you do see the new updated email tabs now, and the Never label in the Last Sent column is rightly causing confusion:



Those two mailings are in progress on your Response page. The way these tabs were built, Last Sent looks at the time the mailing completed sending instead of the time it started sending. We're going to change this so the timestamp you see there will be the time the mailing started its send. That should help clear up the confusion!
