Birthday emails are not importing

Hi, we've been trying to import a list of people with their name, email, membership number and birthday so we can get auto birthday emails running. The birthdays are set up like this: 7/1/1964. I keep getting errors every time I try to import a list with the birthday column. We have tried taking out all other information in the excel sheet and just having the birthday and email address, but that is not working either.

We do use dates in Emma for expiration dates of memberships, and those dates are in the same exact format as the birthday ones we're trying to import.

Is there something we need to do in order to get these dates imported without an error message? Thanks! -Gina

Hello,

I am happy to help with this. It looks like the format you are pulling in is correct. Could you try this: Select the birthdate column and do a find replace to see if there are any extra spaces in the column. If it does replace spaces, try the upload. Let me know if that works.

Hi Laura, we made sure there weren't any extra spaces and are still having an error. Is it possible for me to email you the file we're trying to upload with the birthdays? -Gina

Hey Gina -- I haven't been able to identify why those dates won't import correclty. I'm going to loop in one of our tier two supporters to see if we can figure this out together! I'll check back in with you here when we've made some progress. Thanks!

Hi Gina -- Great news, we figured out what's going on here! The culprit was not in your file but actually the type of field in your Emma account you were mapping those birth dates too. It's actually a little bug in our system that was causing the issue, so there is nothing wrong with your file. We created a new field in your account called "Birthdate" that you can now map that information from your file to. 

Give that a try and let me know if you hit any snags! Thanks for your patience. :)

Emily, it worked! Thanks so much for getting this taken care of for us. We've been wanting to do birthday emails for a while and just kept putting it off. So I'm glad we're getting these started before the end of the year. Thanks again for all your help! :)

Hi Dreyer! Thanks for getting me all of the necessary details upfront. :)

I was able to upload your list to the JC Bday Mailing List group after formatting the birthday column as Date > 03/01/15 in excel. If you have any trouble getting that column to format correctly in the future, try this: 
  • Format a blank column to the desired date format (like Date > 03/01/15)
  • Copy the birthdate column
  • Right click on the blank formatted column and select Past Special
  • Choose Values Only from the pop up and click done
  • Delete the orginal birthdate column

Hi,

I'm having the same problem. We have two dates that we record, a join date and a birthday. The join dates are working fine, but the birthdays have an error. I've uploaded the file to our document library, "030115_All Members Add & Update.xlsx". Both dates appear to be formatted the same way. I've also tried uploading it as a .csv file.

Hi there -- Thanks for uploading that file for me. :)

I had to do some work on your file to get the date column formatted correctly, but I did get that to import into a test account! I've uploaded the revised file named Southeast Financial Import Revised to your documents library. Can you give it a try with that file? 

Be sure to skip the header row when mapping your fields during the import. Let me know if you run into any other setbacks.

I got a different error, "32189 members had invalid entries for the first-account-open-date field,"  when I mapped all the fields. When I told it to ignore the first-account-open-date, the birthdays updated correctly. I'm not sure what happened there because the account date had previously been working. What did you do to format the birthdays so that would be accepted and why do you think the account dates are no longer working?

Hi! Sorry about that, I forgot to reformat that date column after working in your file! I went ahead and reformatted the account open date column and tested the import. To do that, I right clicked on the top of the column and selected format cells > date. You can format that column several ways, but I chose the 3/4/15 date format.

That file is in your document library under "Southeast Financial revised2."

You should be all set now!!

I just tested it out and it didn't have any errors. Hopefully, we can get the dates formatted correctly next time we do an update. Thanks for your help.
