Copy and share email campaigns across sub-accounts

Emma campaign templates currently cannot be shared globally unless they are written by the user in HTML. This is a problem for me. Basically it means I have to start over and rebuild all my templates if I want to share them. I don't write code so this isn't even an option for me. Currently, I am forced to copy and edit NEW Emma templates which sucks because I already have existing templates formatted the way I want them in my main account, and I would like to be able to move them or copy them to a sub account. This issue has arisen since switching from a regular stand alone account to an agency account. In short, I'm doing a LOT of work over again.

I'd like to see a button that says "Copy mailing to > and then an option to choose the appropriate sub account".

Hey Kelly! Thanks for creating this idea. :) If you were able to copy a mailing from one account to another, would you want it to then be editable in the account you’re copying the mailing into? Or are you looking to be able to send it straightaway without making changes?

I agree with all above. It is unusable as is. Seems very odd that you cannot share a custom email with someone else and have it be editable.

It hurts, I know. I just figured out how to really use audience segments and built this huge comprehensive list. Now I'm in agency and I have to go back into the sub account and create all those fields and searches again. On top of the templates, it's pretty painful.

Hi Kelly and Marc! I want to first say real quick how glad I am to see your faces in the community more often. You’re asking such thoughtful questions and stretching Emma’s tools, and it really helps, especially, to hear your pain points.

I spoke with our product team about this idea, and we all agree it’s a good one. I’m marking it as Not Planned for right now because we need to think on it some more before setting an expectation that it’ll be created sooner rather than later. We’re still mulling this over and the status may change as the year goes on.

This would be a HUGE addition and very helpful with how we manage our sub-accounts.  For years, we've been building a campaign, extracting the html source code, and replicating it manually across almost 100 accounts.  There are some inherent issues in doing it that way, but it's the most timely way for us to do it right now.  Please, please, please consider implementing Kelly's suggestion!  We would likely double our monthly email output (more $$$ to Emma!) if this were implemented.  Our 100+ sub-account holders would love us!

Hoping this happens soon! Looks like it's been a few months since they original suggestion. I just got signed up with an agency account and love what I'm seeing so far at the sub account level but not liking that I can't even access the template gallery from the agency account.

Our Product Team has begun the design and planning process for this feature, and development will officially kick off this month. :) Once we firm up the exact plans, I'll post an update with more timeline details so you know when to expect an invitation to join the beta group. The goal is to deliver this in Q2, and I'll let you know if that changes!

I would also like to test this. We are new to myEmma and I am so very surprised this is not already in place. I deal with 6 other email systems and you are the only one so far that DOES NOT have this feature...wow.

This reply was created from a merged topic originally titled Feature Request: Drag and Drop editor for Template Builder in Assets.

It would be great that if in the Assets area where it looks like templates can be built and shared across accounts could have the Drag and Drop editor it in it too.  This way we could add features that are offered in the Drag and Drop editor that are not currently available in the Template Builder. Such as the Follow Us icons, and other features such as a header and footer builder, Text entry, etc. The HTML templates work for me who knows HTML but not for general users and editors.  Could also cut down on my development time for our base templates as well.

hello...we are new to myEmma. We have currently (4) sub accounts. I code the emails myself in my sub-account. Is there a workaround for copying the email to another account? For organizational purposes, I would like to keep a copy in my account and send the final to the sub-account. Plus I don't want to have to recreate emails twice....thanks

Hey there, and welcome to Emma! Since you're coding the emails yourself, are you able to copy that code, jump into your next sub-account, create a new mailing using the Code Your Own template and paste in your code? That's your best workaround for now. I totally understand not wanting to recreate your emails, and our new feature will take care of that. :)

Hi again! Just chatted with a friend, and she wondered if Template Builder would work for you for now. There, you can code templates and share them with the sub-accounts of your choice. We're really close to having the mailing sharing feature ready anyhow, but I thought maybe this option could help with any mailings you need to create and share in the meantime. :)

I wish I knew myEmma well enough to use it. I did quickly try to use it but more reading is necessary...not as easy as I thought. We have a bunch of emails to bring over to myEmma from exact target and I have to do this quickly. I don't unfortunately have the time to 'learn' now unless there is a support person who would lend a hand

Hello, all! I'm excited to let you know that we've switched on Campaign Builder for all accounts in this thread during our beta period.

Since it is beta, there are a couple quirks we're working out. One is that if you try to use a shared mailing at the sub-account level, you can make changes and save it, yet when you return to the Campaigns page, you won't be able to find the mailing. We're working to get this fixed.

For any other agency or tiered accounts who'd like to give Campaign Builder a whirl, let me know below!

Is it possible that my access was not turned on? When I go to Campaign Builder and click on Create a New Campaign, it takes me into the HTML code window -- I don't have an option to use the drag and drop editor.  Thanks!

Hi School of Rock Naperville -- It looks like you're part of the School of Rock Org which already has access to the Campaign Builder! That is an agency tool, so it will be accessible by any agency manager or admin from Assets in the agency menu.

Helly Emily. I am able to create Campaigns and share. Thats fine. But ...the reason I did this is so that a person in our 'web' group could edit themselves. I don't understand how to get the campaign email, which 'web' can see in the 'shared' area, into the 'account' area? You understand? If I just go to shared and hit 'review and send'. I can edit but where is that email now that Web has opened it? I thought if I renamed it, it would go as a new email into the web account area? Thats what i had hoped....Thanks Debbie

after looking at another post, it looks like emma has a bug with campaigns. The email in the campaign after editing and renaming...simply vanishes...all edits gone/ no email with new name exists ...anywhere. Guess I can't use this.

Hi Debbie -- Yes, you're running into a bug that we currently have with this beta feature. As you mentioned, you are able to start a mailing from a shared mailing but that mailing is then not accessible from the unsent or sent tab to edit later. Our team is actively working to resolve this bug, but in the meantime you can still use the drag & drop template builder to give your web account users a good starting point! I've logged this bug for your account and will be sure to update you here when it's resolved.

Can emma confirm this...If you create an email in 'campaigns' and then 'share' with another account and you go to that account, the first thing you HAVE to do..is to copy/save? If a user tries to edit the 'campaign email' in the 'shared' tab, the edits do not save. So, could the process, hopefully until the bug is fixed be...Go to the account who will be editing; go to shared campaign email; IMMEDIATELY 'save a copy' rename and only then make edits. Will that work or is there another 'bug'. I am also desperate to use this feature.

Hi Embry-Riddle -- If I'm following you correctly, yes, you can edit and send the copy of the shared campaign upon originally opening it. That send will track in Response as expected, you just won't be able to find that mailing on the Sent or Unsent tabs right now.

Am I missing something?  When I create a shared campaign and open it in a particular sub account, I'm not able to attach the sub-account's branded stationery to the campaign.  Is that by design, or is it a bug?  This feature will not be useful for us unless that component is in place.  Thanks in advance.

Hey there -- Can you tell me which sub account you're working in and which template/shared campaign you're working with specifically? I'd like to take a closer look at this. I did some testing in an agency account, and as far as I can tell, I am able to select a different template when working in a shared campaign. Thanks!

Thank you for your response!  I shared it with 2 sub accounts: Alexander Koonce and Intracoastal Realty.  When I click on the campaign in the Shared tab, it only says "beginner template" with no other option.  As you'll see, it's a very differently-formatted template - with no stationery options - than the others.  Thanks!

Hi there -- We phased out the Beginner Template about 2 years ago. Is it possible that this shared campaign was built some time ago? That template wouldn't be available for selection when building a shared campaign with our new drag & drop campaign builder that you have turned on in your account.

I'd suggest rebuilding that campaign using the drag & drop campaign builder. I think you'll find all other templates available in the editor for your subaccount to switch to if you begin with a current template!

I wish that were the case, but that campaign was built last week using the drag and drop editor. I did a View Source, extracted the html code, and pasted it in the shared campaign section. Could it be something in that code that is triggering the issue?

Hey -- I do think adding the source code from another mailing likely brought in some unwanted code. If you dropped that code into the code your own, it's likely picking up on the template that was used in that original mailing. Except, you're not really getting all the magic of the drag and drop editor that way. 

The best approach for using the code your own option is to truly code your own. What might be easier here, would be to start with a template and recreate the look you're going for using the drag and drop functionality of the campaign builder. If there's a specific template you're looking to use here, I can have it added to your Assets so you can start with it. Let me know!

Emily, I so very much appreciate your help!  I apologize for still being confused.  Maybe I'm missing a step or something, but we are creating the campaign using the drag and drop editor inside one of our sub accounts.  How do I take that code and bring it over to the shared section?  When I'm in the "Create New Shared Campaign" section of Assets, I only see fields to paste html and plaintext code.  Perhaps a phone call would be better to help us understand?  Thanks!

Hey! So sorry, the new drag and drop campaign builder had been disabled in your account, probably an oversight on my part. I turned that back on for you. Now, when you go to create new campaign under the Campaigns tab in Assets, you should have all of these template options: 



You were only seeing the code your own option before, where you can past in code. Now, if you go to blank templates or template gallery, you can build your mailing just as you did in your subaccount. 

The important thing to note here, is that in order to share a campaign, it has to originate here in Assets. So in order to share a campaign you already have in a subaccount, you'll need to rebuild it here then share accordingly. Does that clear things up?

We are new to Emma!   To be able to remove the OPT-OUT account, Emma team asked me to great a EXTERNAL and INTERNAL subaccount.   My instruction is to keep only internal contacts in the INTERNAL subgroup, but how do I copy the campaign or templates between subaccounts.   Just looking for a step-by-step document.  Thanks

Hi Nicholas, 

In order to share templates and campaigns among multiple sub-accounts, they need to be created at the "Assets" level and then shared down to each of those subs.  

There's not a way to simply copy one from one to the other.  

You can find instructions on using the Template Builder here:

They work similarly, but have their own specific uses as well.  

The key is that they need to be built under ASSETS (accessed by clicking MENU in the top-right) as opposed to within the sub-accounts themselves.

Thanks for the response.  The issue that I have is that I'm only the contract manager and i don't create content.  I just manage the subaccounts.  Is there another method?

Hey Nicholas, the only option right now is to either manually create the emails in each sub-account or to have them created in Assets.  If you are the admin for the account, you can create a "manager" login that would have access to the Assets page and could create content to be shared down.  If you wanted, you could create a manager login for your content creators.  

Is that more along the lines of what you need to do?
