Delete contacts in lists

I need to update my list of contacts each week. What is the best way to do that since I cannot delete the old list? How do I get rid of contacts that have left the company and should no longer be on the list?

Hi there,

I am going to give you a few answers:

1.    You can delete all of the contacts in a groupand then do an upload into the empty group. To delete all of the contacts froma group:

Go into the group you want to clear out and select “Archiveall” from the dropdown:




Then continue with the upload


 

2.    You can do a separate upload into a new groupeach week, but that will not get rid of the folks that need to be removed fromthe system.

 

3.    You can do the above (the second option) andalso do a second upload. This upload would be of all the people that need to betaken out of the system. This group could be used every week and what you wouldneed to do is upload that list, and then opt out all of the contacts.

 

To do this you will do the upload, then in the drop down ofthe group you will select “Change the status of all”




Then select:




and Save


 

Hopefully one of these options will work for you!

Hey there, 

Removing contacts FROM A GROUP specifically will not change any segments that are based on a member field.  Think about group assignment as another Member field.  

So if you have a Segment set up to look only at the "State" member field, then removing them from a group does not affect them, because it doesn't affect that "State" field. 

Now, if you have your segment set up to look for contacts "In GROUP A and in OHIO", then removing contacts from GROUP A would affect that segment, because they wouldn't fit the requirements for that segment.  Of course, importing your contacts directly back into that group would then add them back in to the segment. 

All of that to say, I think you should be good!

one more question - I assume that any opting out they've done within Emma will also be wiped out?

Negative there!  Emma will retain all opt-out information, even in contacts are deleted.  :)

I discovered that answer, as I bravely deleted my contacts then re-imported a file.  thanks, Grey!
Thank you.  In segments I have a "Limbo" file, what is that file for?

The LIMBO file is one that looks for contacts that are in your account but not associated with any groups.

I'm sure you have some highly intelligent developers but deleting contacts should not be this drawn out.  Pleeeease simplify this process.

I am trying to understand what happens to contacts that are deleted from a new list I'm uploading.  If I choose "Update their records" when uploading, will it delete contacts in the Emma group but not on the current list I'm uploading? Or does it only add?

Hi there AMBA, 

Importing will only ever be ADDITIVE.  We wouldn't ever remove contacts from a group on import.  

If you're looking to replace the contacts in a group with only the ones from an import, you will first need to remove the contacts from the group in question.  Or, what most folks do is just create a new group during the import process.

Except if you keep making new groups, the segments based on groups won't work any longer, correct?

Correct, so in that case you would want to empty your group before you imported.  Good point!
