Every time I send a test email out off Emma a task created in Salesforce? This is not beneficial and floods my tasks with not true tasks.

Good morning! This is a great question and I have sent a note over to our integrations team for their input. I definitely understand the frustration with those unnecessary tasks!

I’ll be sure to to give you a shout once I hear back from them.

Thanks!

Hello again! I heard back from our integrations team and currently a task is created for all mailings which is basically how we track activity from Emma to Salesforce. We definitely realize though those test emails can create some clutter in Salesforce accounts. There is some good news that we are currently working on a feature which will enable users to disable test mailings from syncing across platforms. We’re hoping to have this ready later this quarter, so help is on the way!

Please let me know if you have any questions or if I can assist further.

Hello, I thought of another way to make the task field more beneficial. Instead of the tasks being "completed" they should be "closed". This way they do not clutter our tasks inbox. I have no other option than to delete these tasks right now. I can't go through at manually "complete" thousands of tasks.  When I've used other email marketing tools that integrated with salesforce they would add an "activity" to that contact's salesforce profile and it would simply show what emails had been sent to that person. All other tracking would be done in the actual marketing tool.

Good morning! That is a great point and I have shared this with our integrations team to see if this is feasible with the current setup to have those tasks noted as closed for those test mailings. In the case it is not possible, there is definitely work being done regarding those test mailings and being able to disable those tasks from syncing.

I’ll be sure to keep you posted!

This reply was created from a merged topic originally titled
Test Emails in Salesforce - Should not appear in Salesforce.

"Test" emails should not appear in Salesforce under mailings. They are just test emails to internal people before an "actual" mailing goes out. There should be an option to turn off this integration into Salesforce. It just causes clutter.
Thank you,
Kim

Hey Kimmy! I wanted to let you know I heard some great news from our integrations team that they are getting closer to giving customers the ability to make task syncing entirely optional, so you can decide whether you want to have those tasks created. This will not effect other response data. There is not an exact timeframe, but is something which should be coming in the very near future. Hopefully this will help eliminate that clutter.

Happy Friday!

Hey Tyler. What is the update on the work the integration team is doing regarding this issue?
Also, could you ask them if its possible for the tasks to be "closed" versus "completed. Technically I think the status should be "closed" because the activity is completely done. Also, if they were closed then we would not have to export all of the tasks into the "data loader" tool and update their status from completed to closed. I think all clients would appreciate this because then we would not have hundreds of tasks just sitting in an open status at all time.

Good morning Kimmy! I apologize for the delay as I was out all last week. I’ve sent a note to our integrations team for a status update on the ability to make task syncing optional.

I had shared your great idea of the closed versus completed prior and this is not an option at this time, but could become a feature in the future.

I’ll be sure to give you a shout once I hear back from my colleagues.

Thanks!

Hey Kimmy! I heard back from my colleague and the latest is they have a release hopefully by the end of this week. Meanwhile if you want a sneak preview, we have it available in a test package which you can install here.

You’ll need to run through the sync process again. Once there, you’ll find a new option to choose to enable/disable activity creation. You’ll want to uncheck that box and you should then no longer see any additional activities created.

We’re definitely getting closer! Please let me know if I can assist further.
