Compare more than 5 mailings' response information

OK. Another question about this: Why can we only compare 5 mailings at a time? I need more. At least 10.

Thanks for the feedback. We're designing out ways to make response more useful and powerful, some of which you'll see in the next few weeks as we expand some of the details around who is opening to include opens by device and opens by client as well as providing a more real-time approach to refreshing the data while you're looking at a mailing's response. Expanding the number of mailings that can be exported for comparison is not on the roadmap, mainly because we're exploring new approaches to help our customers visualize the data right within the app.

Could you help me understand what you'd like to do with the data once it's exported? I want to make sure we consider the key use cases as we refine the product.

Thanks for the follow up. Are you sending the report along as exported from Emma, or are you modifying/editing it first? It's helpful to know that sending/sharing reports is what you're after — we definitely want to enhance options for exporting out what you're looking for and streamlining the process for sharing. We're doing early thinking here, but this theme is definitely something our product team is tackling. We'll keep you posted.

Hey Brandi! I think you're looking more along the lines of this idea, to track/export mailing response data by audience group.

The idea we're talking about here is using the Compare Mailings button on the Response page -- Right now, you can only compare five mailings at a time:

Yes, that's exactly what I'm talking about, but I want to compare all mailings between a specific date range for specific audience groups.

I thought I'd ask if there's been any movement on this.  The export of response data is simply AWFUL.  There's absolutely no reason that we should have to pull the data five campaigns at a time.  Not only that, but the Excel sheet that's produced is terrible.  It's as if the person who made it thinks that Excel is layout software, not a data management program.  

When data is exported into a spreadsheet, it should be a sortable data table.  And the data in these exports is not.  (And it's missing basic stuff -- like subject line!)

Here's what I'd like to see:

* The ability to export response data for all non-test emails at one time.  
* A single data table with each mailing listed in a single row.
* The following columns: date/time sent, email name, subject line, total sent, total opens, total clicks, total unsubs.  That's it!  
* (OK, add total forwards, not that we use that feature.  And calculate percentages if you want, but I find that extraneous, since I'm going to build my own percentages. Could be nice for others.)

The whole point of exporting response data is to be able to provide reports.  Like Brandi and NJPSA, we need to build reports of WAY more emails and provide trend data over time to our clients.  

As currently constructed, response data exports are a total loser.  We have to export five at a time, and then rearrange the data into a useful data table.  That's work that should be done by a computer, not a human.  (Also, it would have been easier to code up a simple table, instead of the nonsense that's currently there! Somebody got too creative, many years ago.)

I completely agree, the excel sheet isn't set up in the most efficient way. I have to go in and rearrange it completely before I can even set up my reports for management. I spent more than 8 hours organizing my 2014 response data, which was absolutely frustrating. I had to export 5 at a time and then merge the sheets, and then sort the data. It was a nightmare.

While expanding this feature isn't in the product roadmap for the near future, we're still looking for user feedback on what you'd like to see here and what kind of expanded functionality would be most helpful. I'd love to hear your thoughts so that I can pass those along to our Product team.

What kind of in-depth comparison are you looking for in addition to being able to compare more than 5 mailings? Thanks so much!

We'd love to start crafting a story around our newsletters. I can't even begin to imagine how long it will take to run through 100's of emails in small batches of 5. A 1:1 analysis of an email from March 2014 and March 2015 is super, but it doesn't allow us to see the larger picture. We have multiple segments of newsletters that go out and some days there might be 5-10 emails sent. Devoting several hours to just exporting the information seems like a huge barrier to getting started. 

For such a rich platform, this is one of the many areas where it falls completely flat.

Next year?  That seems silly.  This is an easy fix.  Just rearrange how the data export lays out the report file and abolish the five mailings cap.  Maybe 30 minutes for a competent programmer?

Here's a little pseudocode to get you started:

That's the whole thing. Nothing fancy.  The code that's there now is easily 10 times that long (even in my really bad pseudocode.)

I am the product manager that will be tackling this project, I thought I'd jump in here. 

As you've said above, the work to do what you're suggesting isn't terribly complicated. However, we do have to weigh this work against all of the other great product work we're planning, so scheduling and sticking to a schedule becomes very important. And while what you're suggesting above would solve this problem for you and your team, it's not necessarily the best solution (or a complete solution) for all of our clients. We have to consider our client base as a whole as we prepare this work and determine how best to approach it. 

What you've outlined above is definitely a part of our strategy though, and I'm working to get this into our sprint rotation as soon as I possibly can. We'd love to have you as an early beta tester when we get to a point that we need customer feedback. 

I'll update here as things progress. Feel free to let me know if you have any questions.

Yeah, well, keep us posted.  Sorry for the impatience, but this thread was posted on May 22, 2014.  And I emailed Carolyn Kopprasch and Jim Hitch about it on April 4, 2010.  (No, that's not a typo -- this is a five year old request.)

Being able to produce usable reports for clients is mission-critical, and it's a major reason why we've moved most of our "big" clients to other platforms.  I love Emma.  The tool is great.  The price is great.  But if I can't produce reports for the clients that are paying for the service, I have to use other services.  This bums me out.

Thanks for checking in. Fortunately, we do have some updates here to share. As I stated above, this work was high on my list to work into a sprint cycle, and at this point, my team has begun work on overhauling our compare mailings feature. There are a few steps to this work, but we'll be releasing as we go so that customers can start to see benefit from it as early as possible. 

The first stage of fixing this problem is fixing the spreadsheet itself. Instead of putting each mailing in a column, we'll be switching to putting each mailing on a row. This will also allow us to eliminate the five mailing limit per export. This new spreadsheet will look something like this:
 



But we're not just going to invert the spreadsheet. In recent months, we've begun reporting on more things in our response section, like Opens by Device, Opens by Client and our mailing score. We'll be including these in the export as well, along with a link to the online version of the mailing. It should be a much more useful and much more informative export once this is released. 

If you're a regular user of compare mailings exports, you may have realized I didn't mention the links data above. That's more complicated to report on for sure, so we're moving that into its own spreadsheet. It will look something like this: 




It will list every link in the selected mailings, one link per row. This will give the ability to sort and filter by mailing name, subject line, link name, link address or even number of times clicked. Again, this will just be a much more versatile spreadsheet that should allow you to see things like how many times a link was clicked in a month across all of your mailings, for instance. 

You'll be able to download either of these spreadsheets (or both) at your leisure. The format will be .csv. 

As for a timeline, I'm hopeful that we'll have this in a usable state by the end of the year, at least in a beta version, which we'd love for you to try. 

Beyond this work, we'll be working on updating the user interface for this feature. The current page where you do this work isn't very user friendly. We'll be working to give you better options around searching and  filtering your mailings so that you can find the exact mailings that you need for your export.

Hello everyone, 

I'm happy to write and let you know that the work on this feature is progressing nicely, and that we're ready to open our first version up for some beta testing. As participants in this thread, you're going to be the lucky few that get to try this out! As of today, our new work has been turned on in your account for you to try. 

When you go to the compare mailings page now, you'll see a new blue button in the top right corner of the grid. When you click on that, you'll get three options now: Performance summary, Clicks summary and Classic summary. Classic summary will give you the same download you're used to, we didn't want to take that away yet. However, the Performance summary and the Clicks summary will give you new spreadsheets, as detailed above in my previous post. As stated above, these spreadsheets have some huge advantages, such as: 

  • No limit to the number of mailings you can export
  • Stats on device opens
  • Stats on client opens
  • Your mailing score
  • A link to the online view of the email
  • Emma mailing ID
  • Much easier comparison between your mailings

Please keep in mind that this is a beta version, and more changes and upgrades are coming. Please let us know of any limitations, bugs or weirdness you might see. Here are some things we know are wrong or need work:

  • There is likely a practical limit to the number of mailings you can export - We've done over 150 with no trouble, but it's likely that there is a limit before the operation times out. We'll work to address this in future versions. This is especially true of the Clicks summary, which can contain a lot of data depending on how many links you have. 
  • This page forgets your selections if you click onto another page - We suggest expanding the view to include as many mailings as you need. This isn't a new problem, but it will likely come up more often now that you can compare more than five mailings at a time. We'll be overhauling this page entirely starting in January, and this problem will be addressed. 
We hope this helps address the problems you've had with this feature in the past! Please let us know if you have any questions or feedback. If all goes well, we'll be releasing this to the wider community in January.

This is working in the other accounts we've tested in, but this is why we do beta releases! I apologize for this not working as expected yet, but we'll keep digging and I'll let you know when this is resolved.

The problem here had to do with some character encoding, but we've fixed that now in (hopefully) all the places it might show up. This should work for you now, give it a shot and let us know.

The performance summary and the classic summary work, but I can't download a click summary. When I choose it, I get a message at the bottom of my window, saying "waiting for app.e2ma..."

Just tried my first report - I could not get it to allow more than 5 mailings, I'll keep testing. It is a lot of data but for my relatively simple purposes I just deleted a lot of columns. I'm really hoping I can add more mailings to the report. Having 50 on one table would be killer.

Hi Spindrift, 

This page does have a strange quirk where if you check off mailings on one page and then click to a second page, the selections on the first page are forgotten. Don't worry, we are beginning work on updating this page to fix that problem, but in the meantime, there is a workaround. 

For now, you can change how many mailings are displaying on the page at a time by clicking on the "Displaying" button here: 



You can display up to 500 rows at a time. Once you do that, you should be able to check off as many as you like and run the reports.

Hi-

I attempted to run a report on all the deployed emails, but the report only shows 5 mailings. Is there something else I need to do to get a report showing more than 5 mailings.

There is a bug on this page that causes it to forget selections on previous pages if you're paging through all of your mailings. If you change the display to show all of your mailings at the bottom of the grid, you should be able to select all of them and export them. There's a screenshot here if that helps. 

We're working on a nice change to this page that will address this problem, among others. We'll let you try it out as soon as it's ready!

I've love to do included in the beta as well. I always compare my newsletter performance at the end of the year to prepare a January mailing recapping the top 5 most popular stories of the previous year. This is awkward with the 5 mailing cap.

Matt, I just took a look and still got a prompt saying I could only compare 5 mailing at a time. So, it doesn't seem to be turned on just yet. I'll check again later in the day.

WAHOO!  I love the new report.  It's fantastic.  Thank you.

One data note:  The data is missing sender name and sender email.  We've seen that sender name can dramatically impact open rates, so we play around with that from time to time.

And an interface note:  I tried to click the "select all" checkbox to select everything -- but realized that it would include dozens of test mailings.  It would be great if there was a way to exclude test mailings all at once.  Or if that was just the default behavior, even if they're checked.

Thanks, Kari! That's great to hear. The sender name and address suggestion is a great one, I've created a ticket for that so that we can add those in the future. Hopefully, that won't take too long. 

As for the test email problem, we totally agree. We're working on a total overhaul of this page, and one of the things we'll do is exclude test mailings from the list here. I think you'll like what's coming. We'll turn it on for you as soon as it's ready for some testing.

It works great, huge time saver. Only suggestion is that it would be nice to have the summary and link clicks in the same workbook. Thank you!

I still appreciate the Classic report but would love the following added to this classic report:

1. Subject Line of mailing
2. No limit on what you can compare. (i run these on a monthly basis and being limited to only 5 at a time is frustrating.)
3. The current layout of classic is easy to read and follow. I appreciate it.

Just an update to let you know that the new versions of the compare mailings spreadsheets are now available in all accounts! Please give them a try and see what you think. For a rundown of what's included, please read through this message on this thread. 

We also have some major upgrades to the look and functionality of this page that are almost ready for beta feedback. I'll make sure that everyone on this thread is the first to see those, so keep your eyes peeled!

Why are we still limited to only 5 with classic comparing responses?

Thanks for the question, and my apologies for not responding to your earlier comment. The Classic Summary spreadsheet has some serious limitations, which is why we've opted to create the new version. The layout on the older spreadsheet makes it difficult to compare a lot of mailings at once, since the stats are lined up vertically with columns in between each of the mailings. Imagine 100 mailings on this sheet. Scrolling left to right to try and see all of those numbers would be quite tedious, and what's more, there's not an easy way to even get those numbers into a format where you could do meaningful comparisons. A pivot table won't work well because of all the blank spaces and weird rows of text at the top. The vast majority of customers found that format to be extremely limiting, even beyond the five email restriction. 

The good news is that the new spreadsheet does include the subject line of each mailing, and you can compare as many mailings as you want. It also has a lot of additional statistics that aren't available in the classic export, such as Desktop vs. Mobile opens, Opens by Client and your Mailing Score. It's also really easy to see averages and trends. 

Because of this, the Classic Summary export will be going away for good soon. The vast majority of clients are using and enjoying the newer version, so we'll be going to that exclusively in the coming weeks. I'm happy to have a phone call to chat through your use case and how you're using this spreadsheet. I think that if you give the new spreadsheet a chance, you'll find it to be much more useful and easy to read than the old version.
