Importing contact info to a field with a drop down menu

Hi --

When I import contact info to a field with a drop-down menu, and what I'm trying to import is not on the current list of drop down menu options, Emma both allows this and doesn't.

Suppose for example I have a drop down field for states, and I try to import "Mexico." Since Mexico isn't a state, it isn't one of my menu options.

Emma allows it, because if you look at the contact in a list, "Mexico" appears in the state column, and if I create a segment where "state is blank", it will not pull. 

At the same time it doesn't allow it, because if I open the contact's record, the state field is blank.

I need a way to find those contacts where I have imported non-standard information so I can correct it. We have a very specific use case where we have alternate versions of names for our member hospitals, but in terms of resolving typos or general errors I think it's applicable to everyone. As I said, a segment where "state is blank" won't work. In theory I could try "state is not" and then add every item on my drop-down menu, but we have hundreds of members on one menu, so that won't work for us either. What do you suggest?

Hi there Laurie!  

What you have found is correct, and is how Emma is designed to run.  We made the choice to go ahead and allow that information as opposed to causing the whole import to fail because of imperfect data.  

So you have a couple of options.  

1. You can totally run the segment, like you mentioned, wherein you select "does not equal" and add in each of the other options:


That may not be practical if you have tons of options for your dropdown.  

2. The other (and more practical) option is to do a "find and replace" or using sorting options in your spreadsheet and correct everything BEFORE importing.  

Basically doing the same work that you were wanting to do within Emma, just BEFORE instead of AFTER.

Thanks for the explanation. I think what I need to do now is export, clean up, and re-import, and then implement your option 2 for the future.

In the meantime re your option 1, is there any way to do:

IMPORT TEST is not one of Option 1, Option 2, Option 3...?

I'm pretty sure there isn't, but I have to ask.

For your product team, a helpful thing to have would be the ability to choose whether I want each import to a) go ahead as it does now, b) reject the contacts that have non-standard data, or c) reject all contacts if any of them have nonstandard data. "Nonstandard" would apply only to fields with drop down menus or similar formats. Pipe dream?

There is not a way to quickly set that up, though I do like that as a feature request to our product team.  I'll be happy to put that in!  We're always looking for ways to improve features!  

I'll actually put in both of those things as requests.  I'm not sure what all would need to go on behind the scenes to make those happen, but it never hurts for me to ask!  :)
