Proofing error says I have too much text

I don't think I have as much text as the proofing issue is stating. Can you check it for me?

Hi there! I've created a copy of your mailing and named it "October 2013 - Emma copy" to troubleshoot. The proofing error that pops up reads "56.7K worth of text." This actually doesn't mean there's literally too much text; it means that the formatting of that text might cause delivery issues.

Formatting means font colors, links, bold, etc. If you've pasted in text from another source, such as Microsoft Word, that can cause the proofing error, too, since it pastes code that isn't compatible in an email environment.

Looking at the HTML behind the text boxes, I don't notice much built-up formatting. But this is interesting: The text box that begins "NAWBO-OC's 2013 Remarkable Women Honorees" has this HTML for formatting:

font-family: Arial, Helvetica

while the "1st Monday Portrait Session Special" text box has this:

font-family: 'arial black', 'avant garde'

The capitalization is what I'm looking at, and the former is how Emma codes formatting tags. My guess is that the latter was either manually typed into the HTML or is the result of pasted text.

All that to say, there are a couple options:
  • You could try having fewer links to see if it changes the proofing size flag, but you don't want to compromise the helpfulness of your email.
  • You could reformat the text by stripping the font selections (font family, size, alignment, etc.).Use the Remove Formatting tool, that looks like this:

Our proofer flags anything more than 40 KB, and you're usually OK up to 60 KB. Let me know if I can help answer any other questions!

So is it not a good idea to copy/paste text from Word and other processors? Is it a best practice to just retype everything in the Emma template?

Hi there -- You can certainly add text copied from other sources. You can use our text pasting tool in the editor to designate whether you want to paste with styles (if you've already formatted your text) or without styles (if you want to use the formatting toolbar in the editor to format that text).

Check out this page from our Resource Center on adding and editing text -- you'll want to pay special attention to the *pasting* section.

Hi there. I received a proofing error message ("too much text") right after I added the hyperlinks in our e-newsletter. Could someone please take a look and let me know what went wrong when these links were added? Do the link names themselves contain too much text? Thanks!!

I'm getting a campaign proofing error within my mailing saying "49.12K worth of text. Reduce the amount of text content to lower file size." Can anyone tell me what the actual ideal size of a mailing is?

Was there ever an answer to the ideal size of a mailing? Is it OK to send a mailing that's under 60 kb but still flagged?

Hi Cumberland Trust -- Yes, our proofer sets off a very conservative text size warning. You can read more about that here! Typically anything under 60 KB won’t have a negative affect on delivery, but lighter is always going to be better in terms of delivery.

Hi there,

I am also getting this error message, and emma shows that my mailing was successfully sent, but the mailing is not coming through. Is the text size the issue? Mailing is April_2016_Newsletter - COPY 2016-04-13 11:28 AM

Hi Elizabeth!

I took at that mailing you're referring to and there's nothing there that jumps out that would be the cause of any delivery delay.  I can see that the proofer is letting you know there's 49kb (ish) of text.  That's fine though, as Emily said above, the idea is that the Proofer is conservative and we wouldn't expect any impact on delivery until well over 60kbs or so.

It looks like you've sent those test mailings to and from the domain, in which case it's a good idea to update your SPF record to include the domain (which is us).  It's a pretty simple process if you follow this guide here, and basically it will quash most suspicions of spam from your server and decrease the likelihood that you're mailings will get flagged as spam.  This is because although that mailing is sent internally, it's still passing through our servers.  By updating your SPF record, you're authorizing our domain to send on your domain's behalf which tells the receiving server that you're not likely a spammer.

When Emma says that there is 100K worth of text, is this referring to the file size of the message or the number of characters in the message? Also, does it include the backend coding like mobile styling and inline CSS?

What's the recommended amount of text/file size?

I tried this technique to remove the formatting and the file size went down. But then the text block became read only and when I did a Sent Test the entire block was deleted and was not there when I went back to the editor!
